     Finance Executive Assistant

                                                                           

 

PUC Services Inc. operates multiple utilities within and around the City of Sault Ste. Marie, including the distribution of electricity, the supply, treatment and distribution of municipal drinking water, and the operation of wastewater treatment facilities.

We are seeking a new member of our team to support the Vice President, Finance & Corporate Support.  The ideal candidate will have exceptional interpersonal skills, will be highly organized with strong attention to detail, and be an enthusiastic self starter.

The primary responsibilities of this position include:

  • Assist in the preparation of highly confidential material for the Board of Directors (multiple boards and committees) and the senior executive team involving financial reports, labour relations, corporate initiatives, business development, etc.
  • Prepare presentations and correspondence for the Board of Directors and other stakeholders as required
  • Administration and processing of management payroll and related documentation
  • Support the organization of confidential financial documents for the Vice President, Finance & Corporate Support
  • Assist is the preparation of regulatory documents for various legislative agencies
  • Provide support to the Executive Assistant to the President and CEO as well as provide back up relief in their absence
  • Assist with preparation of financial reports for Shareholders and City Council Members
  • Support the tracking and maintenance of corporate insurance policies
  • Assist in planning and implementation of strategic initiatives
  • Assist with correspondence for Human Resources matters and privacy concerns as directed
  • Maintain schedules and coordinate travel arrangements
  • Attend meetings and transcribe meeting minutes and conduct follow up on action items as necessary

Qualifications:

  • Minimum of post-secondary diploma in Office Administration-Executive Program
  • A minimum of 5 years’ experience working in an Executive Administration role
  • Experience working with confidential business documents and supporting a finance team
  • Experience working directly with a Board of Directors is an asset
  • Experience with payroll systems and related documents
  • Advanced level knowledge of Microsoft Office applications (specifically strong Excel and PowerPoint skills) and other information systems
  • Exceptional organizational skills
  • Excellent verbal, written, editing and proofing skills with a strong attention to detail
  • Strong interpersonal skills and the ability to work collaboratively as a team in a fast-paced environment
  • Strong time management skills with the ability to multitask and meet deadlines
  • Ability to exercise sound judgment in decisions regarding highly confidential matters
